Position Overview:

We are seeking an organized and proactive Office Manager with human resources responsibilities to join our team in Toronto. In this role, you will manage day to day office operations while also supporting HR functions including recruitment, onboarding, and employee relations. This position offers the opportunity to work closely with leadership, ensure smooth administrative processes, and foster a positive, collaborative workplace culture.

Key Responsibilities:

Oversight:

  •  Track and manage employee timesheets to ensure accuracy and compliance
  • Ensure office policies and procedures are consistently followed
  • Oversee invoicing for projects and assist with financial documentation

HR & Bookkeeping:

  • Support HR activities, including recruitment, onboarding, and maintaining employee records
  • Utilize QuickBooks (or similar software) for bookkeeping tasks, expense tracking, and financial

reporting

  • Reconcile financial records and assist in preparing operational budgets
  • Foster positive office culture, including coordinating events (birthdays, team outings, holidays)

Inventory & Procurement Management:

  • Manage office inventory and project resource procurement
  • Maintain vendor relationships to ensure efficiency and cost-effectiveness

Policy Implementation & Reporting:

  • Develop and implement internal office policies to optimize workflows
  • Prepare and present regular operational performance reports to leadership

Qualifications:

  • University degree required (preferably in Business Administration, Management, or related fields)
  • Strong experience with QuickBooks or similar accounting software
  • HR experience, including recruitment and employee relations, is an asset
  • Prior experience as an Executive Assistant supporting C-suite leadership is preferred
  • Strong bookkeeping and basic accounting knowledge
  • Excellent organizational, analytical, and multitasking abilities
  • Strong leadership and communication skills
  • Proficiency in Microsoft Office Suite and general software literacy
